However, it’s common to see meeting organizers scrambling around to keep a meeting interactive and orderly. In fact, it has been a running gag that people sleep during these formal assemblies.

  1. State your agenda and emphasize its importance.

Every meeting has a purpose. To avoid aimless proposals and talks, make sure that everyone understands your agenda and knows its full weight on the success of your plans. If you’re the meeting organizer, make sure that you have set a clear set of objectives. This way, you will not only save time, but you’ll also be able to talk about things that matter.  It’s okay if you take more time in this area than in other parts of planning.

  1. Check your list of attendees.

Before you submit the final list of attendees, check and recheck it. Only add those who you think can contribute to the meeting as you don’t want to pay extra charges for a person/s whose presence is not entirely essential in the light of the meeting’s objectives.

  1. Schedule your meeting in an appropriate place and within time.

As the meeting organizer, booking a room where the meeting will take place will fall into your hands. You must choose an environment that does not offer any distraction.

With regards time, it would be advisable to set a strict end time as it’s easy for meeting to go out of hand. If you think that you and the team do not work well with time limits, it’s much better if you schedule the room half the time you intended it to last. This way, you will lose no unnecessary time when the meeting happens to ramble on.
